Basecamp Wales Terms and Conditions (Hostel Policies)

Basecamp Wales enforces strict terms, booking conditions, and property rules to guarantee the safety, quiet enjoyment, and comfort of all hostel guests, staff, and resident farm animals.

 

 

1. Booking & Cancellation Policies

  • Payment Terms: All reservations made directly via the website require a 100% non-refundable payment upfront at the time of booking. 

  • Third-Party Bookings: Any fees, commissions, or deposits paid to third-party booking channels or online travel agencies (OTAs) are entirely non-refundable by Basecamp Wales.

  • Age Restrictions: Guests must be 18 years or older to check in. Anyone under 18 must be accompanied by a parent or legal guardian over the age of 18. 

  • Stay Extensions: Extensions to existing stays must be processed directly at reception. Booking online while currently in-house to extend a stay is prohibited and will be cancelled. 

 

 

2. Strict Group Size & Occupancy Limits

  • Maximum Group Size: We do not accept large groups, parties, or large family bookings. The maximum allowance is 8 guests total.

  • Refusal of Entry: Group sizes of 8 or more, including multiple separate bookings made under different names to bypass this rule, will be cancelled, and entry will be refused without a refund. 

  • Child Registration: All children, infants, and babies must be counted on the reservation. Maximum room capacity limits are strictly enforced regardless of guest age. 

  • Non-Residents: Only registered guests listed on the booking confirmation are permitted on site. Visitors or non-residents are strictly prohibited, this includes bring guests onsite to use our grounds. 

 

 

3. Arrival & Departure Times

  • Check-In Window: Strictly from 4:00 PM to 10:00 PM. Late arrivals cannot be accommodated.

  • Check-Out Deadline: Strictly by 10:00 AM on the day of departure, this includes use of facilities and car parking. Late check-outs are not available. 

 

 

4. Room & Property Facilities

  • Room Layouts: Private rooms are basic and feature beds, a wardrobe, and a washbasin and/or en-suite bathroom.

  • Shared Bathrooms: Separate male and female toilet and shower facilities are provided for guests staying in non-en-suite rooms.

  • Central Heating: Buildings are centrally heated during winter for up to 3 hours in the morning and up to 3 hours in the evening. Room space heaters are available upon request.

  • 24-Hour Access: The hostel has no curfew. Internal facilities and 24-hour hot water are accessible around the clock. 

 

 

5. Kitchen Rules & Honesty Box System

  • Kitchen Amenities: The shared self-catering kitchen features 2 electric cookers (8 total hobs, 2 main ovens), 2 microwaves, 2 kettles, 2 toasters, a fridge/freezer, complete cookware, and basic dishwashing soaps.

  • Guest Etiquette: All dishes must be washed, surfaces cleaned, and the area left tidy within a reasonable timeframe after preparing food. Guests must be considerate during peak cooking hours.

  • Honesty Box System: Tea, coffee, and pantry essentials are provided via an honesty donation box. Correct or suggested payments must be deposited by the end of each day. We reserve the right to remove this facility immediately if it is misused. 

 

 

6. Livestock, Pets, & Countryside Living

  • Farm Animals: We keep free-range chickens, sheep, and alpacas. Guests are strictly prohibited from feeding, petting, or interfering with any livestock. Basecamp Wales accepts no liability for injuries if this rule is broken.

  • Farm Noises: The property is surrounded by working agricultural farmland; occasional rural and livestock noises are normal.

  • Strict No-Pet Policy: Pets are completely prohibited on-site and inside the hostel. This includes a strict ban on keeping animals inside parked vehicles overnight.

  • Local Traffic: The hostel sits on a country lane. Guests must drive carefully, respect local traffic, and show consideration for local residents. 

 

 

7. Guest Behaviour & Safety Rules

  • General Conduct: Guests must behave responsibly and keep noise to a minimum when playing music or devices. Anti-social behaviour that disturbs neighbours, staff, or guests will result in immediate eviction without a refund.

  • Zero Tolerance: Physical or verbal abuse, threats, or aggressive behaviour toward staff, guests, or animals will result in immediate removal from the premises at management's discretion.

  • Smoke-Free Building: Smoking and vaping are strictly prohibited inside all buildings. Smoking is restricted entirely to designated outdoor zones.

  • Strict Illegal Drugs & Cannabis Policy: We operate a zero-tolerance policy regarding illegal substances. The possession, consumption, or cultivation of illegal drugs is strictly prohibited anywhere on our property. This includes cannabis/marijuana in all forms. Because cannabis smoke and vapor emit a strong, lingering odor that disrupts the comfort of other guests, smoking or vaping cannabis is completely banned inside the buildings, in all bedrooms, and across the entirety of our grounds and farmland. Violation of this rule will result in immediate eviction of your entire party without a refund, a heavy deep-cleaning fee, and potential notification of local authorities.

  • Electrical Safety: All personal electronic devices—including phone chargers, laptops, tablets, radios, and hair straighteners—must be unplugged and turned off whenever leaving the bedroom. 

 

 

8. Damages, Drones, & Media Restrictions

  • Reporting Damages: Any accidental or faulty damage to property must be reported to staff immediately.

  • Cost Recovery: We reserve the right to recover full repair or replacement costs from the primary guest for any wilful or negligent damage to fixtures, furniture, or the property's reputation.

  • Fire Safety Equipment: Misusing fire extinguishers or triggering false fire alarms will result in immediate eviction of the entire party, financial charges for damages/callouts, and potential criminal prosecution.

  • Room Inspections: Staff reserve the right to conduct room inspections to check for damages. If damage is discovered, bookings will be terminated instantly without a refund.

  • Drones & Commercial Media: Drone flight is banned on the grounds. Commercial video recording or professional photography for financial gain is strictly prohibited without prior written consent from management. 

 

 

9. Liability & Reserved Management Rights

  • Property Maintenance: Management reserves the right to perform scheduled maintenance. If a specific bed or room becomes unavailable, we will provide an alternative accommodation solution or issue a full reimbursement.

  • Force Majeure: We are not liable for service disruptions caused by events beyond our control. If fire or disasters destroy property sections, bookings may be cancelled without liability, and deposits will be refunded.

  • Valuables & Cash: Basecamp Wales accepts zero responsibility for stolen or lost money, jewelry, or valuables unless they are explicitly deposited at the reception office for safe keeping in exchange for an official receipt.

  • Luggage & Property Claims: Liability for damage to guest personal property is strictly limited to a maximum of £50 for any single item, capping at an absolute total of £100 per guest. Consequential losses are completely excluded

10. Parking & EV Charging Policy

  • Free On-Site Parking: Ample free parking is available on the property for all staying guests.

  • No EV Charging: We do not offer electric vehicle (EV) charging facilities on-site. Running charging cables from inside the hostel buildings to vehicles is strictly prohibited for electrical safety and insurance reasons. Guests driving electric cars must use public charging stations in the local area.
